Steps on how to set up and use a physical hardware token provided by Norwich ITS for the use of MFA.

What is it?

A physical or hardware security token is used as a second factor for authentication, also know as Multifactor Authentication (MFA). Hardware tokens are small devices that generate random numbers, similar to the Microsoft Authentication App, that do not require a wireless or cellular signal.

Please Note: The token does NOT require a wireless or cellular signal to operate.

Norwich University utilizes the DeepNet Security Token pictured below and is available to faculty, staff, and CGCS students under special circumstances approved by the CIO or CISO.

Why Do I Need This?

A physical security token may be needed if you do not own a smartphone or tablet that utilizes the Apple iOS or Android operating system. You may also need a token if you work in a security facility and will need access to Norwich University systems while working in the secure facility.

Please Note:
  1. If you will be working in a secure facility or deployed, you will need to check with their facility security officer (FSO) to ensure tokens will be permissible. The tokens we issue are SafeID/Classic token on this page: https://deepnetsecurity.com/products/pre-programmed-tokens/ It is up to you to discuss this with your FSO.

How Do I Use It?

To use the DeepNet SafeID Token, follow these steps:

  1. Navigate to http://sso.norwich.edu
  2. Enter your email address when prompted:

  1. Enter your password when prompted:

  1. When you receive the below screen, press the red power button on the left side of the token this will generate a random number. Enter this number in the box "Code" box below. Check the "Don't ask again for 30 days" box before clicking verify.
NOTE: You must enter the code before the countdown timer on the left side of the token display gets to one bar. The countdown timer is based on an algorithm and is continuously running. Pressing the button does not stop, start, or restart the timer. Pressing the button only toggles the token's display. If the countdown is too short, wait for the next code to be generated and enter it.

NOTE: If you do not receive the above "Enter Code" screen, you may not have the token set as your default method. To proceed follow the below steps:
1. Click the "Sign in another way" link as pictured above.
2. Click on the "Use a verification code from my mobile app" link
3. Press the power button on the token to generate a code, then enter it in the code box as depicted above.

You should now be signed into your applications. Follow these procedures anytime you are prompted for your code.

Q: What should I do if I lose my security key?
A: Contact the help desk immediately.

Q: How long do the batteries last and how do I change them?
A: The battery lasts 5-7 years and is not user replaceable. Please contact the help desk if your token stops working.
